Seller Guidelines

Welcome to Circular Clothing Co. (“we,” “our,” or “us”). These Seller Guidelines (“Guidelines”) apply to all individuals or businesses (“you,” “seller,” or “sellers”) who list and sell items on our marketplace at circularclothingco.com.au (the “Platform”). By listing items, you agree to follow these Guidelines, our Terms of Service, Privacy Policy, and Shipping & Dispute Policy. These rules exist to maintain trust, authenticity, and a safe experience for everyone using the Circular marketplace.

1. Seller Responsibilities

  • Provide accurate, complete, and honest information in every listing.
     Include clear photos, detailed descriptions, sizing, condition, and brand details.

  • Disclose all faults, wear, or damage honestly.

  • Maintain professional, timely, and respectful communication with buyers.

  • Dispatch sold items within 3 business days of sale (unless otherwise specified).

  • Upload valid tracking details once an item has been shipped.

  • Respond to customer enquiries and dispute requests promptly through the Platform.

1.1 Listing Quality Standards

To maintain consistency across the marketplace and help customers shop with confidence, all sellers must meet Circular Clothing Co.’s photography and listing standards:

  • Take clear, well-lit photos that accurately represent the item’s condition, colour, and fit.

  • Capture all key angles and details, including front, back, close-up fabric or texture, brand tag, material/composition tag, and any flaws or wear.

  • Where practical, include measurements (e.g. bust, waist, length, inseam, armpit-to-armpit) to support accurate sizing.

  • Avoid filters or heavy edits that alter the true appearance of the garment.

  • Only use photos of the actual item being sold - stock or model images may appear only as secondary references.

  • Ensure the item is clean, wrinkle-free, and neatly presented.

  • Listings that don’t meet these standards may be removed or hidden until corrected.

Circular may update these standards over time to reflect platform improvements and evolving community expectations.

1.2 Item Condition Standards

To maintain transparency, all sellers must assign an accurate condition rating to each item using the categories below.
Listings with missing or misleading condition information may be removed or adjusted.

Condition

Description

New With Tag (NWT)

Unworn, unused item with original retail tags still attached.

New Without Tag (NWOT)

Unworn, unused item without retail tags; must show no signs of wear.

Very Good

Gently worn item in excellent overall condition. Minor wear such as light fading, minimal pilling, or faint surface marks may be present.

Good

Pre-loved item showing moderate wear such as fading, small stains, or pilling that does not affect wearability or structure.

Acceptable

Noticeably worn but functional item with visible flaws (e.g. fading, marks, small holes, stretched fabric). Should be clearly described and priced accordingly.

 

Sellers must:

  • Choose the most accurate category that reflects the item’s true state.

  • Disclose all flaws in the description and include close-up photos.

  • Avoid describing items as “like new” or “perfect” if any visible wear exists.

  • Remember: transparency protects your reputation and builds buyer trust.

2. Pricing & Fees

  • Circular charges a 10 % commission on each successful sale.

  • Sellers must not manipulate pricing (e.g. listing an item cheaply but inflating shipping to offset the fee).

  • Sellers may offer free shipping, discounts, or promotions at their discretion.

  • Payments are processed securely through integrated third-party payment systems (such as Stripe Connect or PayPal).

  • Payouts are issued automatically to the payment method linked to your seller account once an order is marked as delivered.

3. Shipping & Fulfilment

  • Sellers are responsible for packing and shipping their own items.

  • Every shipment must include tracking so the buyer can follow delivery progress.

  • Use sturdy, sustainable packaging and ensure items are protected in transit.

  • For high-value or fragile items, shipping insurance is strongly encouraged.

  • Sellers are expected to cooperate with buyers and couriers in resolving delivery issues.

4. Prohibited & Restricted Items

The following items are not permitted on the Platform:

  1. Counterfeit or replica goods that misrepresent a brand.

  2. Stolen or illegal items obtained unlawfully.

  3. Hate, discriminatory, or violent materials.

  4. Adult or explicit content, including sexual paraphernalia or nudity.

  5. Items containing real fur, ivory, or endangered-species materials.

  6. Weapons, explosives, flammable, or hazardous materials.

  7. Fast-fashion knock-offs or goods infringing another party’s intellectual property.

  8. Any item that appears unsafe, unhygienic, or inconsistent with Circular’s brand values.

Replicas, Dupes & Inspired-By Items

Sellers must not misrepresent an item’s brand, origin, or authenticity.
Replica, “dupe,” or inspired-by pieces are permitted only if:

  • The item is clearly identified in the description as a replica or inspired piece.

  • The brand field is set to Other (not the designer or original brand name).

  • The listing does not use brand trademarks or logos in titles, tags, or imagery that could mislead buyers.

Listings that imitate or misuse a brand name to increase visibility may be removed and could result in account suspension.

Intimate Apparel & Swimwear

Items such as lingerie, underwear, and swimwear may be listed on the Platform provided they are clean, hygienic, and presented respectfully.

  • Listings must focus on the fashion aspect of the item, not sexual or adult themes.

  • Items should be laundered or new, in good condition, and described accurately.

  • Photos must avoid explicit poses, adult context, or suggestive imagery.

  • Circular Clothing Co. reserves the right, at its sole discretion, to remove any listing that appears unhygienic, explicit, or inconsistent with community standards.

5. Authenticity & Brand Integrity

  • All branded items must be genuine; sellers are responsible for verifying authenticity before listing.

  • Listings found to be counterfeit, mislabelled, or deceptive will be removed.

  • Circular may request proof of purchase or authentication at any time.

  • Buyers can request proof of authenticity; sellers must respond promptly and cooperatively.

6. Seller Conduct

  • Treat all buyers, sellers, and staff respectfully. Harassment, discrimination, or abusive language is not tolerated.

  • Do not attempt to complete sales or communication off-platform (“fee avoidance”).

  • Sellers must comply with all applicable laws, including tax and consumer-protection obligations.

  • Maintain ethical business practices and uphold Circular’s sustainability and fairness values.

7. Enforcement

  • Circular may issue warnings, remove listings, or suspend or terminate accounts based on breach severity.

  • Severe breaches - including counterfeiting, harassment, or fraud - may result in immediate account termination without prior notice.

  • Sellers may appeal enforcement actions by emailing hello@circularclothingco.com.au within 7 days of notice.

  • Appeals will be reviewed within a reasonable timeframe; decisions are final.

8. Updates

Circular Clothing Co. may amend these Guidelines at any time. Updated versions will be posted on the Platform, and continued use of the seller dashboard constitutes acceptance of the latest version.
